# Inbox Agent: invoices picked up from your mailbox automatically

The Inbox Agent connects a Microsoft 365 mailbox to Glimps and automatically picks up every invoice that arrives there: including reminders with the invoice attached, forwarded mail, and invoices inside an ongoing mail thread. The invoice is then read, coded, and ready in Glimps. Nobody has to forward invoices anymore. You can start in look-only mode, in which it only shows what it would pick up. The Inbox Agent is on every plan.

## Why invoices leak away

- The supplier mails one person instead of the invoice address.
- The invoice hangs as an attachment off a conversation about something else.
- It is a reminder with the original invoice attached.
- The mail was forwarded into a subfolder nobody opens again.

## Two modes

- Look-only mode: changes nothing in the mail and nothing in the administration. Every invoice found gets a verdict: already in Glimps, missed, or suspicious.
- Active mode: found invoices are imported and enter the normal pipeline. Processed mail moves to the tidy-up folder.

Posting automatically from the mailbox is possible only on a verified purchase-order match, and only when that is switched on for that mailbox. A PO number in the text is not proof.

## Classification on two axes

The first axis is what the mail is about: invoice, credit_note, receipt, invoice_question, forwarded_invoice, reminder, statement, remittance, order_confirmation, quote, auto_reply, not_invoice, uncertain.

The second axis is what is attached: invoice, credit_note, statement, receipt, none, unknown.

The axes are independent. A reminder is not an invoice, but often carries one. A question about an invoice usually carries none.

## Microsoft 365 permissions

For your own mailbox: Mail.ReadWrite, User.Read, offline_access. For a shared mailbox, Mail.ReadWrite.Shared is added. Write access on mail exists only to move processed messages to the tidy-up folder. No permission to send or delete mail is requested.

## Boundaries

- Excluded senders (one address or a whole domain including subdomains) are checked before classification.
- Mail that is not an invoice is not stored as content.
- A folder Glimps reads cannot also be the tidy-up folder. This is checked on the folder itself.
- The same message and the same attachment are recognized, even after moving or forwarding. Attachments are compared on content.
- The connection works on Microsoft 365. For other mail systems, the administration keeps its own invoice address.

Yes. Once pickup is on, every invoice that arrives in the connected mailbox lands in Glimps automatically. There it is read, coded, and prepared, just like an invoice you upload yourself. You do not have to forward or save anything.

No, only the mailbox and folders you point at. Usually that is a shared mailbox such as payables@ or invoices@, not anyone personal mail. Mail that is not an invoice is not stored by Glimps.

Does it also post those invoices right away?

The connection works with Microsoft 365. If you use Gmail or something else, your administration has its own invoice address. Set a forwarding rule to that address and your invoices arrive automatically too.

For your IT team: which permissions the connection asks for

The connection runs through Microsoft 365. On the Microsoft consent screen your administrator sees exactly these permissions:

- `Mail.ReadWrite`: read the chosen folders and move processed mail to the tidy-up folder
- `Mail.ReadWrite.Shared`: the same for a shared mailbox, only when you connect one
- `User.Read`: know which account you connect with
- `offline_access`: keep the connection alive without signing in again every day
