Glimps recognises an invoice it already has and does not post it on its own. If the invoice shows a different bank account than the one you know for that supplier, it waits until someone checks. Even with automatic posting on.

## Two ways to lose money

Both start with an invoice that looks perfectly normal. That is why they are so hard to spot among all your other invoices.

### Paying twice

A supplier mails the invoice, sends a reminder with the same PDF a week later, and a colleague uploads it too, just to be safe. Three times the same invoice, and nobody notices.

You only notice when the supplier kindly asks what to do with the extra money.

### Paying a fraudster

A mail from a supplier you know: "We changed banks, please pay to this new account from now on." The logo is right, the invoice looks real. The bank account belongs to someone else.

That money usually does not come back, and the real supplier is still waiting to be paid.

## How Glimps spots an invoice it already has

Different file name, forwarded, mailed again: does not matter. These are the rules.

### Same number, same supplier

An invoice with an invoice number Glimps already has for that supplier is a repeat.

### Exactly the same file

If the file is byte for byte identical to an invoice already there, Glimps recognises it. Even with a different file name.

### Receipt without an invoice number

No number to go by? Then a receipt counts as a repeat when the same supplier charges exactly the same amount on the same day.

### Points at a known invoice

A document that names an invoice already in Glimps, and asks exactly the same amount for it, is flagged too.

### Caught at the door

When Glimps picks invoices up from your mailbox, it checks before importing whether the invoice is already there. If so, Glimps simply says: this invoice is already in Glimps.

### Looks like a duplicate? Then Glimps posts nothing.

A suspected duplicate is never posted automatically. Glimps names the invoice it matched, and you decide. Did Glimps read the invoice number wrong? Correct it and Glimps looks again. Delete the original and the suspicion against the copy is dropped by itself.

View original

Glimps names the invoice it matched. One click and you see them side by side.

Delete the copy

Really a duplicate? Gone. No second posting reaches Exact Online.

Not a duplicate

Really two invoices? Choose this, give a reason, and post it.

## A different IBAN than usual? Then the invoice waits for you.

Glimps puts the name, VAT number, Chamber of Commerce number, and IBAN from the invoice next to what Exact Online knows about that supplier. If the bank account differs, Glimps holds the invoice until a person confirms the account.

- You choose: confirm the account for good, for this invoice only, or refuse it.
- Glimps does not mistake your own IBAN on a direct-debit invoice for a new supplier account.
- Glimps does not change bank accounts in Exact Online and pays nothing. Payments stay in your own bank or Exact Online.
- The check is switched on or off in your booking defaults. Your call.

## Three steps, one phone call

A mail saying the supplier changed banks proves nothing. Here is how you handle it.

1. 01Do not trust the invoiceThe invoice and the mail both come from whoever sent them. A nice logo is not proof.
2. 02Call the supplierUse a number you already had, not the one from the mail. That number may just as well belong to the fraudster.
3. 03Record the answerConfirm the account for good, for this invoice only, or refuse it.

Really changed banks? Then change the account yourself in Exact Online. Glimps does not do that for you, on purpose.

## Even the autopilot stops here

Released a supplier for automatic posting? A suspected duplicate or a changed bank account still stops it. That invoice always waits for a person.

Always a person

- A suspected duplicate invoice
- A different bank account than known

Also stops at

- Amounts that do not add up
- An amount above your ceiling
- A credit note
- A supplier that went quiet for a long time
- A different currency
- The duplicate check could not run

A supplier earns automatic posting step by step. [Read how that works](https://useglimps.com/en/agentic)

Even earlier: the Inbox Agent sets suspicious mail aside, such as an unknown sender or a different bank account than usual. [About the Inbox Agent](https://useglimps.com/en/agentic/inbox-agent)

## Questions about duplicates and fraud

Want to try Glimps yourself?Try the demo How does Glimps prevent duplicate invoices?

Glimps recognises an invoice it already has by the invoice number together with the supplier, or by a file that is exactly the same. A receipt without a number counts as a repeat with the same supplier, the same amount, and the same day. A suspected duplicate is never posted automatically.

No. You pay yourself, from your own bank or Exact Online. Glimps makes sure a duplicate, or an invoice with a changed bank account, is not posted unseen. So it does not slip into Exact Online as an open item either.

What if they really are two invoices with the same amount?

That happens, think of two receipts from the same shop on the same day, for the same amount. View the original, choose "Not a duplicate", give a reason, and post it. A person can always post it.

And if the invoice number was simply read wrong?

Correct the number and Glimps checks again whether it is still a repeat. Delete the original and the suspicion against the copy is dropped by itself. You do not have to clear anything by hand.

What does Glimps do when the bank account on the invoice is different?

Glimps holds the invoice until someone confirms the bank account. You see the name, VAT number, Chamber of Commerce number, and IBAN from the invoice next to what Exact Online knows about that supplier. Then you confirm the account for good, for this invoice only, or you refuse it.

Does Glimps change the bank account in Exact Online?

No. Glimps does not change bank accounts in Exact Online. If you really want to change a supplier’s account, you do that yourself, after you called them.

Does Glimps mistake my own IBAN on a direct-debit invoice for a new account?

No. A direct-debit invoice often shows your own bank account, because the supplier collects from it. Glimps recognises that and does not hold the invoice for it.

Yes, you switch it on or off in your booking defaults. We would leave it on: it is the check that stops invoice fraud.

Do these checks also apply to suppliers on automatic posting?

Yes. A suspected duplicate and a changed bank account always stop automatic posting, even for a supplier you released for it. The invoice then waits for a person.

What do I do when I get a "we changed banks" mail?

Do not trust the mail or the invoice, they both come from whoever sent them. Call the supplier on a number you already had, not one from the mail. Record the answer in Glimps.

Duplicate invoices

- Invoice number and supplier together.
- A file that is byte for byte identical.
- Receipt without an invoice number: the same supplier, exactly the same amount, the same day.
- A document that names an invoice in Glimps and asks exactly the same amount.
- When picking up from the mailbox, before importing: file name, invoice number, file hash, or invoice number with supplier.

Changed bank account

- The IBAN on the invoice is compared with the IBAN known for that supplier.
- Name, VAT number, Chamber of Commerce number, and IBAN are shown next to the supplier details in Exact Online.
- Your own IBAN on a direct-debit invoice does not count as the supplier’s account.
