Fresh produce waits for no one. The paperwork had to keep up.
Vitacress Real grows and packs fresh herbs in Venlo. Those herbs are on shelves across Europe within days, and you can see that pace in the books. Growers, carriers, packaging suppliers, the energy contract: everything sends invoices. Hundreds a month combined, 109 of them on the busiest day.
Most belong to a purchase order, and so to a delivery that wants checking: do the lines match what was ordered and what was received? Some run past two hundred lines.
Without help that means retyping, digging out orders and packing slips, comparing lines. At this volume that is no longer admin. That is a full-time job.
Plenty happens. Just not by hand.
An invoice arrives and gets to work. Someone is only pulled in when there is genuinely something to decide.

Invoices find their own approver.
Roughly a quarter of invoices need sign-off, from fourteen different colleagues across the company. That used to mean emailing, forwarding and one more friendly reminder.
Now Vitacress Real’s own rules decide who sees an invoice. At approval time that colleague sees the full invoice, with the order and any deviations right next to it.
